How to schedule recurring calls in Dialpad
It’s easy to schedule recurring conference calls with Dialpad with one of these options:
From your Dialpad Meetings dashboard, select My Conferences > Plus(+)
Select Recurring, and choose a pattern
Set the duration and name the series, then add invitees
Add to your calendar
Choose if you want to call participants when it’s time.

One-off meetings
If you don’t want to commit to a regular pattern, you can schedule a single meeting for a specific date and time.
Recurring meetings
These are ideal for weekly team meetings, daily huddles, or regular catch-ups with remote employees. Each meeting uses the same meeting ID and settings.
Instant meetings
You might decide to have an off-the-cuff meeting because something urgent came up (say you work at a help desk and a customer has an important question). An unscheduled meeting has no fixed time—you can have a one-click meeting easily from Dialpad. Just click the video camera icon.
Meeting pages/personal meeting rooms
As well as the meeting options above, you can create your own personalised meeting page with your name as the meeting ID. It’s like a recurring meeting, but you’ll have a personal or branded URL.

You can send a recurring meeting invite to anyone as long as you have their contact information.
That includes colleagues, customers, stakeholders, investors, suppliers... You name it. International participants can even join calls using the meeting link (or use local access numbers if you upgrade to Dialpad Meetings Business).
If you're already using Google Calendar, just create a meeting invite and choose the Dialpad AI Meetings video conferencing option. This will send an email to external parties with a clickable link. No download, no PIN, or phone number. If they don't have the app, Dialpad automatically sends the invite and link as an SMS instead.
Another time-saver is to set up a group of invitees. Just select people on your Contacts page and click “Create a Group”. When you schedule a meeting series, enter the name of the group to add everyone within it. You can then add and remove people before you set the time and send invites.
This is completely up to you. If you don’t have a regular schedule for your calls or you don’t meet very often, then setting up new calls every time may not be a problem for you. But if it's a call that occurs on a regular basis with the same group of people, then scheduling a recurring online meeting will help you save a lot of time and hassle.
Remember that you can make changes to the meeting details after scheduling. You can amend the time, date, subject, or add extra attendees, without disrupting the pattern. Since you’re not deleting the original and adding a new meeting, it remains as part of the recurring series.
Only people with an official invitation to your recurring meetings will be able to access them. For extra peace of mind, the host can lock calls to prevent unwanted guests from joining, and you can add a PIN code if you wish. You can add extra people to a meeting series after it’s been set up, or even during the call—but if their name’s not on the door, they’re not coming in!
And if you're screen sharing, after the screen share ends, the information is no longer available to participants, nor is it stored by Dialpad.
Only organisers and invited attendees can see the history of the meetings in a recurring series (or see your upcoming events). In your Dialpad account, it’s under My Conferences > History.
As for your own meetings, only you have access to that.
If you turn on call recording and real-time transcription, then Dialpad Meetings can deliver a call summary to the host’s email address after each meeting, including download links for recordings. Recordings of past meetings are displayed under PastConferences. You can share any of these with others by forwarding the summary or copying the link, but anyone with the link will be able to access the recording.
For security, you do have the option of deleting all data related to a conference—or, just don't turn on call recording and transcripts if you don't want to record the call or receive the post-call summary.
Since Dialpad integrates with Google Calendar or Microsoft 365, it’s easy to schedule a meeting in your calendar. This automatically generates a link, and you can invite anyone directly through Gmail or Microsoft Outlook. They just have to “dial in” by clicking the link to join or start the call.
